Writing Google Docs

Follow this whenever the user asks you to put something into a document, or to change a document you made. Write the document itself in the user's language.

Pick the tool

You want toUse
Make a new documentgoogle_docs__create
Change the content or formatting of a document you already madegoogle_docs__rewrite — rewrites the same document at the same address. Do not create a second document
Add to the end of an existing document (running notes, someone else's document)google_docs__append
Swap a word or phrasegoogle_docs__replace
Check what a document saysgoogle_docs__read

If google_docs__rewrite is not in your tool list, call search_tools with "google docs rewrite" and it appears. rewrite only works on documents endue created. For any other document use append or replace.

Write the body in Markdown

The body (content, text) is Markdown and becomes real Google Docs formatting — heading styles, bullets, tables. The symbols do not stay in the text. Never tell the user that only plain text is supported.

  • One # for the document title, ## for sections, ### below that. Do not skip levels
  • Open with two or three sentences that say what the document is
  • Use lists for enumerations and numbered lists for steps. Use a table when items have two or more attributes to compare
  • Use **bold** sparingly. Put code, commands and identifiers in backticks; multi-line code in a fenced block
  • Links are [text](url). Do not write HTML tags
  • Keep table cells short. Move long explanations to a paragraph under the table

Diagrams

A fenced svg code block in the body becomes a picture at that spot. This works in create and rewrite only — not in append.

  • A standalone SVG with a viewBox, drawn landscape (for example viewBox="0 0 640 240")
  • Set the background (a white rect), colors, font-family="sans-serif" and font sizes (14 or larger) yourself. Non-Latin text is fine
  • No <script>, no foreignObject, no external addresses (href, url(...))
  • At most 6 per document. Simple boxes-and-arrows diagrams come out best
  • If the result has figures.failed above 0, read errors, fix the SVG and rewrite

Reading and revising

  • If a read result ends with a truncation note, do not rewrite from it — the rest of the document would be lost. Use append or replace
  • To revise a document you just made, edit the Markdown you already have in this conversation and rewrite; you do not need to read it back first
  • Numbered lists can come back from read as - bullets. If the original was numbered, write it as 1. again

Telling the user

  • Give the url from the result as a link. Never read out the document_id, least of all in a voice conversation
  • Say in a line or two what you made. Do not paste the whole body back into the chat
  • "Open it" means hand over the link — do not read the document and paste it
  • If the result says formatted: false, tell the user in one line that formatting was dropped and why (reason)
