ChatGPT Space and Pages: where teams and agents share one document

OpenAI launched Space, a shared workspace inside ChatGPT, and Pages, a document type built for people and agents. What they do, what ships now and later, team tasks and Slack and Teams, and the permission and privacy details worth knowing.

At DevDay on September 29, OpenAI made several announcements that stretch ChatGPT from a chat window you use alone into a place where a team works together. Two of them sit at the center: ChatGPT Space and Pages.

Space is where a team’s pages and files live. Pages is a new kind of document that people, ChatGPT and the dot, the personal agent OpenAI launched the same day, edit together. Space replaces ChatGPT’s Library, so Pro, Business and Enterprise users will already find it in the sidebar.

Below is what Space and Pages can do, what is available now and what comes later, the team tasks and Slack and Teams integration announced alongside them, and the Meetings plugin. The permission and privacy details worth checking before a rollout get their own section.

What Space is

Space holds the work you can access in the workspace you are signed in to. Inside it, a space groups pages around a topic or a team, such as a design studio or a research project. Sharing a space gives people access to the pages in it.

Space brings together:

  • Pages, the new document type described below
  • Spreadsheets and presentations you create with ChatGPT
  • Sites, the websites and tools you build with ChatGPT
  • Images and files you uploaded or saved

Files from connected apps such as Google Drive can be pulled in too. Linked source files keep their original permissions. Anything you summarize onto a page, though, becomes visible to everyone who can open that page.

While you work, you can tag ChatGPT, Codex or your dot for help. OpenAI says ChatGPT can keep a space organized based on instructions you give it.

Projects stay as they are. When a project is shared, personal Space files drop out of its sources, and the originals are not deleted.

What you can do with Pages

OpenAI describes Pages as “a new type of document, built for human and agent collaboration.” You can turn a conversation into a page or start from a template, and the page is built from blocks.

Type / while editing to open the insert menu. Beyond headings, lists and tables, it offers:

  • Generate to draft text in place from a description.
  • Visualize to build an interactive visualization. The help center’s example is a project budget calculator where readers change team size, weeks and weekly cost.
  • Image to generate or upload an image.
  • Prompt to leave a request that readers can run to start a chat.
  • Task and Agent Instructions to note work for Codex or guidance for agents.
  • Files, Pages and Chats to reference other material without copying it.

To revise, select text and use Ask for change, or mention @ChatGPT or @dot in a comment. The help center gives this example:

@ChatGPT Change the start date to Tuesday. Leave the rest unchanged.

Teammates edit in real time and leave comments on passages. Access comes in three levels: view, comment and edit. Subpages inherit access from their parent page or space.

Coming soon: collaborative slides and spreadsheets

Slides arrive in the coming weeks. You will create a deck from a conversation or your own template, and several teammates and agents will edit it at once and leave comments. You can present inside ChatGPT or export to PowerPoint or Google Slides with formatting intact. The Space page also lists collaborative spreadsheets as coming soon.

Creating and editing pages on mobile is not here yet either. On mobile today you can find, read and share pages.

Teams and team tasks

On Business and Enterprise, colleagues can form a team in ChatGPT and share pages, slides, plugins and spreadsheets. Team tasks hand recurring work to that team.

A team task runs in one of two ways:

  • On a schedule, such as every Monday summarizing last week’s customer updates and follow-ups.
  • On an event, such as a new email or Slack message. For example, when a message lands in the launch channel, summarize progress and blockers.

Tasks run in the cloud with the team’s service account and the app connections set up for the team. They do not inherit the creator’s memories, custom instructions or chat history. They draw on workspace credits, and team spending limits are separate from individual limits.

Admins decide who can create teams and tasks through two permissions, “Create teams” and “Create and manage team automations,” and can review activity through the Compliance API.

@ChatGPT in Slack and Teams

On Business and Enterprise, you can mention @ChatGPT in Slack and Microsoft Teams channels, threads and DMs. OpenAI’s examples include turning a messy discussion into a brief or slides, and investigating a bug, reviewing the approach with the team and opening a pull request, all in the same conversation.

Two details stand out:

  • No individual license needed. In enabled channels, teammates without a ChatGPT license can join in, add context and refine the result.
  • Access is set by admins and by you. @ChatGPT uses the company tools an admin connects, and connecting your own account can extend its reach to things like a private document. It does not inherit your personal accounts or permissions automatically, and it asks for approval before acting in connected tools.

The Meetings plugin and privacy

The Meetings plugin takes notes during a meeting and saves a personalized summary with action items as a page in Space. No bot joins the call, and it works for online calls and in-person conversations. It is a beta in the macOS desktop app for Pro and Business users. iOS, Android and Windows support is coming, and Enterprise is in an alpha with a limited group of customers.

The help center spells out the privacy details:

  • Microphone and system audio from your Mac are streamed to OpenAI to create the notes. Once the notes are ready, the audio is deleted from your Mac and OpenAI’s servers and cannot be replayed. If you are offline or processing is unfinished, audio may stay on your Mac for a while.
  • You are responsible for getting consent from everyone in the meeting. The consent reminder is shown only to you and does not notify other participants.
  • Meeting pages are private by default. People you share one with see the notes, not the transcript.

Shareable profiles

A shareable profile brings together your name, photo, activity and the Sites you choose to showcase, up to 12 per profile. Activity includes chat message counts and Work and Codex token usage. Personal profiles are private by default; Business profiles are shared within the workspace by default, and admins set the sharing level. The recap lists Business and Enterprise, while the help center says profiles for Enterprise are coming soon.

What to keep in mind

  • “Self-updating pages” still need setup. The Space page says pages can stay updated from your connected tools, but OpenAI’s ChatGPT Learn docs state that Keep Updated isn’t available at launch. For recurring updates, ask ChatGPT to schedule a task, then confirm a run actually happened and the page changed.
  • Hidden instructions are a real risk. OpenAI’s admin guide says pages, files and tool results can carry prompt injections that redirect ChatGPT or disclose information, and that safeguards reduce the risk without eliminating it. Require approval for consequential actions where you can.
  • Access flows downward. Subpages inherit from their parent page or space, and removing a direct invitation leaves inherited access in place. New team members can see all of the team’s earlier runs and generated files.
  • Turning sharing off keeps existing shares. When an admin disables sharing, it blocks new shares and permission changes only.
  • Team connections can reach further than a member can. Workspace connections may access information a member’s own account cannot, so review team membership alongside connection permissions.
  • The recap and the help pages differ in places. Enterprise support for profiles and Edu support for Slack and Teams are listed differently depending on the page, so check the help center before a rollout.

Early reactions are mixed. Every’s review, written after using Space before the launch, calls it an easy replacement for the document editor its author had been using, and notes that edits land faster than when an agent works through Google Docs in a browser. It also names switching costs as the main hurdle, since most teams already collaborate in Google and Notion. Engadget’s live blog called it an AI-heavy shared doc platform like Google Docs.
